- What is a pro forma invoice?
- A document that looks like an invoice and is sent before the work or the shipment, so the buyer can prepay, raise a purchase order, or clear customs. It is not a tax invoice and does not go in your sales ledger. The final invoice follows once you have actually supplied.
- How is it different from a quote?
- A quote offers a price and invites a decision. A pro forma assumes the decision is made and tells the buyer what to pay and how — which is why this one keeps the pay button and the bank details, and the quote generator deliberately does not.
- Will this stop it being mistaken for a real invoice?
- That is what the wording under the total is for: 'Pro forma invoice — not a tax invoice. A final invoice follows on supply.' It is the one sentence that keeps a client's bookkeeper from entering it twice.
- Can I use it for customs?
- Customs authorities commonly ask for a pro forma for shipments that have not been invoiced yet. What they require on it varies by country and by what you are shipping, so check your destination's rules — this is not customs advice.
- Can I ask for a deposit?
- Yes. Set a percentage and the deposit prints as a real amount under the total, which is the usual reason to send a pro forma at all.
- Do I have to make an account?
- No. Nothing here asks you to sign up, and the tool works fully signed out.
- Is my client's information sent anywhere?
